Time that lands on the right matter

Capture time from the matter, the task or the diary entry, with the fee earner's rate applied automatically. Unbilled work per matter is always visible, and the month-end bill-all turns every matter's WIP into draft bills in a single step.

Invoices HMRC will accept

VAT invoices with your registration number, the client's details and disbursements shown separately. Credit notes, part payments and write-offs are recorded against the invoice, with the VAT columns your accountant needs for the return.

Costs information the Transparency Rules expect

Send a fee estimate the client can accept online. The costs information the SRA Transparency Rules and the Code of Conduct require sits on the quote, and an accepted quote becomes the matter's budget, so the estimate and the bill are never strangers.

Statements, reminders and interest

Monthly statements go out automatically. Overdue bills follow a reminder ladder that pauses when a client has promised to pay by a date, and resumes if the promise is not kept. Interest on overdue accounts is charged at the rate you set, shown separately and treated correctly for VAT.

Get paid without the phone call

Connect your own Stripe account and clients pay by card from the invoice link, or by bank transfer with the reference shown; receipts post to the invoice, and the ageing report shows every promise, every reminder and every partial payment per client.

Are SolicitorOS invoices valid VAT invoices?

Bills carry what a UK VAT invoice needs: your VAT registration number, an invoice number and date, the client's details, the VAT rate and amount, and disbursements shown separately. Your accountant confirms the treatment of disbursements against HMRC guidance.

Can I bill fixed fees as well as time?

Yes. Fixed-fee items, hourly time, disbursements and interest all sit on the same bill, and a fee quote can be converted into a fixed-fee invoice on acceptance.

How do reminders work?

A reminder ladder you configure sends polite follow-ups at set intervals after the due date. Reminders pause while a recorded promise to pay stands and resume automatically if the date passes unpaid.

Does SolicitorOS charge interest on overdue accounts?

It can, at the annual rate you set in Settings. Interest is added as a separate line and treated as VAT-exempt.

Can clients pay online?

Invoices and statements carry a link to the invoice with your bank details and the reference to quote, and each bank transfer is recorded against the invoice it pays. Connect your own Stripe account and the invoice also takes a card: the money settles to your account and never passes through SolicitorOS.
